Physical shortage on an order line
A red badge beside an order line means that unit cannot currently be picked from a shelf. Once the warehouse packs the order, the badge clears automatically.
What it means
The red Physical shortage badge on an order line has one meaning: that unit cannot currently be picked from a warehouse shelf.
This is different from goods that exist but are not where they need to be. That line gets a yellow Waiting for transfer · N pcs badge. N is the quantity in the warehouse but outside the picking path, for example on a spare pallet or in the store back room. Nobody is moving it yet; someone must transfer it to a picking shelf. You cannot click this badge because there is no shortage to confirm.
If an open replenishment task already exists for the line, you see a blue Replenishment in progress badge instead — someone is already moving the goods.
Four badges, the same order on the order page and in the queue
- Physical shortage (red) — the goods are not in the warehouse.
- Stocktake (yellow) — goods exist, but counting has frozen the shelf.
- Replenishment in progress (blue) — an open task is already moving the goods.
- Waiting for transfer (yellow) — goods are outside the picking path and nobody is moving them.
In the queue view, the same four meanings appear on a line without a location (the Location column). The queue list also divides the red “-N” count into the same categories.
When the check runs
The system checks stock automatically when you open the order page, but only when needed: the status is WMS Shortage or a line is already red. You can also check manually using Check stock.
The check evaluates the whole order at once, not each line separately.
The badge clears after packing
An order the warehouse has finished is not checked again. Instead, its red flags are cleared.
The system recognizes completion from the WMS process status, the same one shown on the WMS Fulfillment card. Two statuses count: PACKED and DELIVERED. It changes to PACKED when the final packing line is processed — exactly when the goods leave the shelf.
The reason is simple: after packing, the goods are not on the shelf because they have gone to the customer. If the system kept asking “are they on the shelf?”, the answer would be “no” and the badge would stay red forever.
That was the behavior until 2026-09-08.
Exception: a cancelled order that never reached the warehouse has no WMS status. Its badge will not clear automatically.
What to do when an open order shows a physical shortage
- Check whether the goods are in another warehouse — the badge refers to one warehouse, the one assigned to fulfill the order.
- If the warehouse confirms the goods are physically missing, move the order to WMS Shortage status.
- When the goods are found or a delivery arrives, use Check stock. A line with enough stock clears automatically.
