Return transfers — routes to another warehouse (such as Defects), a workshop, or a manufacturer
Items assigned to a route decision such as “To defects” wait aside after the return closes—until the credit note is issued or simply until closure, depending on the route. Then scan them onto a shelf in their destination warehouse or pack them into a parcel. A manager configures all routes on the “Return transfers” page.
How return transfers work
Some returned items do not go back into ordinary stock; they move onward. Slightly worn shoes, after cleaning, go to the Defects warehouse. A damaged item goes to a workshop and comes back repaired. Dropshipped goods go back to the manufacturer. Each destination is a route: a decision made during inspection (for example, “To defects”) moves an item from one warehouse (such as MAG) to another (such as Defects). A manager configures the routes.
A route has one of two issue methods:
| Issue method | What you do | Example |
|---|---|---|
| To a shelf | Scan a shelf in the destination warehouse, then scan the items. Each item immediately becomes stock on that shelf. | Defects, Outlet |
| Into a parcel | Pack the items. Closing the parcel prints a contents list and issues a document; the goods leave for an external destination. | Workshop, manufacturer, laundry — Shipping to a parcel for repair or a manufacturer — packing, dispatch and return |
When an item can move
After a return is closed, an item waits to the side. It does not appear in the regular put-away list.
- A route that waits for release (credit note) can move the item only after the return is settled (for us, status KFS_Confirmed). Before then, Subiekt does not have the item in stock, so there is nothing to transfer. A workflow rule with the action “Release return items for transfer” releases it.
- A route without a wait (or without MM documents) is ready as soon as the return is closed.
- A bulk return never waits: there is no order, so there will be no credit note.
Put items on a shelf: Put-away → To another warehouse
Open Put-away → To another warehouse (if items are also waiting to be packed, switch to To shelf).
- Scan a shelf in the warehouse receiving the items (for example, Defects).
- Scan the item’s EAN. It immediately becomes stock on that shelf.
- Scan more items. The shelf stays selected until you change it. Scan another shelf to switch the screen to it.
| Message | Meaning | What to do |
|---|---|---|
| This location is in another warehouse | You scanned a shelf in a warehouse that is not receiving anything | Scan a shelf in the warehouse named in the message |
| This item is going to warehouse X | The item’s route differs from the selected shelf | Scan a shelf in warehouse X |
| Waiting for release | The return is not settled yet (for us, the credit note is not confirmed) | Put the item back to the side |
| No item with this code | Nothing with this EAN is waiting, you already put it away, or someone reopened the return | Check the code; nothing was posted |
| This is not a shelf | You scanned a cart, workstation, or system location | Scan a regular shelf |
| Inventory in progress / another batch | Inventory is in progress on the shelf, or another batch is there | Choose another shelf |
Issue MM
When you finish putting items away, click Issue MM. The system takes what you have put away since your previous Issue MM, separately for each warehouse pair and route (for example, MAG → Defects and MAG → Disposal). Items with the same EAN are combined into one line with a quantity. It then checks in Subiekt how many of those goods the “from” warehouse has (for us, MAG). The MM document covers only the quantity Subiekt has. Items put away by a colleague are included when they click their own Issue MM. Items still waiting for release are excluded.
No one issues MM for you. If you forget to click Issue MM, the items wait until your next click (the Put away without MM counter). The manager cannot turn off MM or the routes while there are such items. A return containing one of these items cannot be deleted until MM covers it in full—the row in the MM Shortages list must be cleared.
The document waits in Documents as a draft until Subiekt retrieves it. Do not confirm it manually; it is locked for viewing.
A To shelf route has no return leg: the goods are already in our stock. Move goods from Defects back to MAG with a regular inter-warehouse transfer in WMS2 (Inter-warehouse transfer)—no route is needed.
When Subiekt does not have all the goods
Subiekt would reject an MM that moves more stock than the warehouse holds, so MM includes only the available quantity. You see the remainder immediately:
- The message MM did not include N items — they are in MM shortages appears with a View MM shortages button (visible to people with Documents access).
- An MM shortages: N items chip appears next to Issue MM. N is the number of items not covered by MM.
Put-away is already complete. Only the ERP document is missing, so do not put the items away again. When the goods appear in Subiekt, open Documents → MM Shortages and click Issue MM on the row again. If someone transferred the goods manually in Subiekt, use Reconcile—see MM shortages — when Subiekt does not have enough goods for an MM document.
Is Subiekt not responding, switched off, or missing the corresponding warehouse? Issue MM still completes: no MM is created, and the entire batch waits in the list with a reason (shown in the action message). Once the issue is fixed, issue MM from the list.
List of items
Find items awaiting transfer, both ready and waiting, under Put-away → List → To another warehouse. If the company has both route types, you can also filter by issue method: To shelf or Into a parcel.
Refunds
A return with an item on a route (for example, “To defects”) is not refunded automatically. Customer Service reviews it.
Settings (manager)
Open Settings → Warehouse → Returns → Put-away and transfers → Return transfers. The page has an enable switch and one expandable panel per route. Save is at both the top and bottom of the card. Each panel heading describes the route, for example, “Repair Wasilków · grades B, C · MAG → Wasilków · into parcel · MM · waiting”. The same description identifies a route when saving is refused. Configure these fields in order:
- Item grades covered by the route (for example, B, C). Select them first; a new route selects all grades by default.
- Decision (for example, “To defects”). Choose one of the decisions allowed for the selected grades on the Condition assessment tab. A decision already used by another route for the same grades is disabled and names that route. A decision can have several routes only if they cover different grades.
- From warehouse (for example, MAG, where the MM document starts) and To warehouse (for example, Defects).
- Issue method: To shelf or Into a parcel. For parcels, also choose the contents-list document, print template, list detail level, and transfer document.
- Documents: Create MM documents, separately for each route; turn this off if the company does not use Subiekt or Wapro. Wait for release (credit note) requires an active workflow rule with the action “Release return items for transfer”; saving fails without one. When disabled, items are ready as soon as the return is closed. Waiting is unavailable without MM.
- Return (only for Into a parcel): no return, through Receipts, or through bulk returns — Shipping to a parcel for repair or a manufacturer — packing, dispatch and return. For a return through Receipts, also choose the return warehouse and the document used to receive the goods.
Above the panels is “Warehouse staff cannot change warehouses”. When selected, an item can go only to the warehouse specified by its route. When cleared, warehouse staff can put it elsewhere and change the parcel warehouses.
A route decision cannot also direct an item to stock. The route is saved on the item when the return is closed; changing routes later does not move items already waiting.
