Returns list — tiles, filters, and bulk actions
A status rail on the left, summary tiles above, and a filter builder behind the button. Selection can include rows beyond the current page.
The summary above the table shows the total number of returns and how many need attention.
Tiles: In transit, Received today, Needs action, Problematic, Completed today.
On the left, the Status rail is built from the company’s status groups, split into problematic and non-problematic groups. It also has All and a separate Problematic section.
Step by step
Filter the list to the returns you need
- Open the Returns tab at the top. From any other returns screen, use List in the quick-action bar or press Alt+2 to return here.
- Press
q. The cursor moves to Search returns.... Enter a scan code or parcel number. > Letter case does not matter: the handler acceptsqandQ, so Shift and Caps Lock do not break the shortcut.Ctrl+Kis not this search; it opens the app-wide search, although the filter chip above the table says Search (code, tracking) — Ctrl+K. - Press
for click the funnel (tooltip Filters) for more filters. A grid opens with Marketplace, Country, Customer service status, Date from, Date to, Customer name, Product EAN, Location, Was in status, Was in customer service status, Note contains, Problematic, Notes, Items to warehouse, Refund status, and Cash on delivery. - If you need a condition not in the grid, click the unlabeled funnel-plus button (tooltip Advanced filters (builder)). In the panel choose Select field..., Operator, and Value. Add an alternative with Add OR condition and apply with Apply filters. Clear removes the whole builder.
- Save a filter set with the bookmark icon (Saved filters) → Save current. In Save filter, enter Filter name, choose Personal or Company, and click Save. In the saved list, choose Set as default to make one the starting filter.
- Check the results. With active filters and no matches, the screen says No results and No records match the selected filters. Try changing or clearing them., with Clear filters. With no filters and an empty list, it instead says No returns and No returns meeting the criteria were found, with Scan the first return.
Change the status of several returns at once
- Select rows with their checkboxes. The bar above the table shows Selected {count} of {total}.
- To act on every result matching the filters, click Select all ({count}). The count changes to All {total} matching selected. Keyboard selection cannot select rows beyond the current page;
Ctrl+Ais not wired on this screen. - Click Change status.
- If the selection includes returns in final groups, first select Force (closed groups) from the same menu. Its tooltip says Allows warehouse status changes for returns in final groups (is_closed). > The switch does not reset itself after an operation, when you close the menu, or when you clear the selection. Once enabled, it stays enabled until the page reloads. Turn it off yourself when finished.
- Choose a status below the divider. There is no confirmation dialog; the click runs the operation immediately.
- Read the notification at the top right:
- Full success: Changed status in N returns.
- Partial refusal: Changed X of Y, errors: Z (yellow).
- Without force, a return in a final group is refused with Return is in final group "…" - warehouse status change is blocked. BOK status remains editable.
- If the entire request fails, the message is Error creating return. This is misleading; it does not mean the system tried to create a return.
The same process works for Change customer service status (the menu starts with Clear customer service status) and More, which includes Mark as problematic and Remove from problematic.
Export the list to a file
- Click the download icon on the bar (tooltip Export to Excel) or choose More → Export…. Both open the same Export dialog.
- Under What to export?, choose All filtered or Selected only. If all results matching the filters are selected, Selected only is disabled and the export uses the filter.
- Under Layout, choose XLSX export — 1 row = 1 return or XLSX export — 1 row = 1 EAN. > Changing the layout does not rebuild the column list; the column set for “1 row = 1 return” remains below.
- Under Format, choose Excel, CSV, XML, or JSON. Excel is selected by default; although both layout labels say “XLSX”, you choose the file format separately here.
- Under Columns, clear anything you do not want. All and Default select a set with one click.
- Click Generate. With no columns selected the dialog refuses with Select at least one column.; a generation failure says Could not generate the file.
- If two-factor verification appears, enter the code and the file will generate automatically. Closing this dialog cancels the export without an error message. Export requires 2FA (Two-factor authentication (2FA) — enabling it, backup codes, and disabling it) because the file contains customer data. The same applies to exports from the Refund history tab.
Columns
SLA (when enabled), Flags, Return, Order, Scan code, External ID, Country, Products, Status, Customer service, Location, and Date.
Flags are icons with tooltips: problematic return, refunded, refund pending, partially refunded, excluded from refund, N photos, and N notes.
SLA shows Age: N days, Remaining: N days, or Overdue by N days. Rules are defined per marketplace using an integration-name fragment, number of days, priority, and label. Enable the column with a separate settings switch.
Filters
Search (code, tracking) on Q; Marketplace; Country; Date from/to; customer service status (including No customer service status); Was in status and its date range; Was in customer service status and its date range; Note contains; Has note; Problematic; Items to warehouse (all / some / none); Refund status; Cash on delivery; Customer name; Product EAN; and Location.
Only mine is a checkbox beside the 1–25 of N count above the table. It filters for returns you opened or on which you clicked Process return or Reject. People listed in Settings → Returns → General → “Open returns list with ‘Only mine’ for” start with it selected until they clear it. The choice is remembered like other filters (default: 5 days); everyone else sees the full list. Clear filters displays all returns.
Employee is available only to roles with Returns > Filter list by all employees permission. The choices are people who opened or closed a return; automation accounts are not employees. The filter also applies to exports and all-pages operations.
Advanced filters (builder) is a separate button. It builds conditions for status and group; status history (with a date range); customer-service status and its history; marketplace; delivery country; creation date; scan code; store order ID; external ID; customer name; location; EAN; problematic flag; refund; notes; items not going to stock; and item tags.
The Location filter—both the simple one and the builder condition—matches a manually entered description (Return details — item grading and the readiness gate) and the shelf where goods were put away (Return putaway — this is when goods enter stock). Empty means neither is present. The regular search at the top of the list searches the same phrase. The Location column shows the entered description and cannot be sorted; use search or the filter to find it.
You can save filter sets and choose one as the default.
When nothing matches: No returns / No returns meeting the criteria were found.
Bulk actions
Selection can span multiple pages. Use Select all; the bar then indicates that all filter matches are selected.
- Change status, Change customer service status, or Clear customer service status (audited operation).
- Mark as problematic or Remove from problematic.
- Export selected to XLSX in either layout: 1 row = 1 return or 1 row = 1 EAN.
Force (closed groups)
The switch tooltip says Allows warehouse status changes for returns in final groups. Without it, a return in a final group is refused with Return is in final group "…" — warehouse status change is blocked. BOK status remains editable.
Use of the force option is recorded in logs.
Results include Changed status in N returns, Marked N returns as problematic, and similar messages. Partial success says Changed X of Y, errors: Z.
Export
Formats: Excel, CSV, XML, JSON. Layouts: one row per return or one row per line item. Choose columns from a list; some are selected by default. Available columns range from return ID and marketplace to EAN, class, decision, Full return?, Has a twin?, and Twins.
The list bar also has an Export to Excel shortcut for the current view.
