Shipping to a parcel for repair or a manufacturer — packing, dispatch and return
Items on the To parcel route wait aside until ready (in our setup, until the return is settled — KFS_Confirmed). Parcel, packing list and MM document are based on what you actually scan. Goods return from a workshop through Receipts or as a bulk return.
What this is
Some returned items leave the warehouse for a workshop (repairs in Wasilków in our setup), a manufacturer (dropshipping return) or a laundry. A manager sets a route with the To parcel issue. General route information: Return transfers — routes to another warehouse (such as Defects), a workshop, or a manufacturer.
These items do not enter stock or go onto a warehouse shelf; after the return closes, they are set aside. They can ship when ready:
- If the route waits for a credit note, an automation must release the item first. In our setup, this happens when the return reaches KFS_Confirmed: either an automatically confirmed credit note or Customer Service closing the return. Without a credit note in Subiekt there is no stock to move. A return in KFS_Error cannot ship.
- If the route does not wait, or does not issue MM documents, the item can ship as soon as the return is closed.
Packing: Put away → To another warehouse → To parcel
Open Put away → To another warehouse. If other items also wait to be shelved, switch to To parcel. First choose a parcel route, for example Repair Wasilków · MAG → Wasilków, which shows the number of ready items. If just one route has ready items, the first scan selects it automatically. The top shows from which warehouse to which warehouse goods will be moved. This pair is blank until a route is selected; the route fills it in. If the manager allows, you can change it. Then scan the items set aside.
| Color | Meaning | What to do |
|---|---|---|
| 🟢 TO PARCEL | Item can ship in this parcel | Put it in the carton |
| 🟠 PUT ON SHELF | Item is not ready, belongs to another route, nothing with this code awaits dispatch, or you scanned a shelf | Leave it on the shelf; the reason appears below the result |
There are no other results. An EAN identifies a product, not an individual physical unit. For one EAN, the parcel takes all ready units; every further scan gets Put on shelf.
There is one open parcel per company and it follows one selected route. Once an item is in it, the route cannot change; an empty parcel can use another route. An item for another route (for example, manufacturer return while packing for a workshop) gets Put on shelf, with its destination warehouse named, and can ship in the next parcel. You can take over a parcel started by a colleague.
Close the parcel
Before closing, remove an item using × if needed. Close parcel is final:
- A packing list is printed for the carton and kept in Parcel history for reprinting.
- If the company uses MM documents, an MM document is created for exactly what was scanned, with a draft of the same transfer for the ERP. The Subiekt bridge retrieves the draft and assigns its ERP number. It is created after closing and includes only stock available in the dispatch warehouse (MAG in our setup); see If Subiekt does not have all the goods.
- The packer is recorded and each return history gets a dispatch entry.
Closing does not cancel anything. Correct mistakes in Subiekt/Wapro.
Nobody manually confirms the ERP draft. It looks unfinished in the documents list because it waits for the ERP to retrieve it. Confirming it yourself means the ERP will not see it, so it is locked to view-only.
Closing is blocked if a return containing an item was reopened or deleted meanwhile. Remove it with × and close the rest. The person assigned to the dispatch warehouse closes the parcel.
If Subiekt does not have all the goods
The parcel closes without waiting for Subiekt. The packing list prints so you can load it for the courier. The system then asks Subiekt for the dispatch warehouse stock and creates an ERP draft for the available amount. Any shortage:
- The closed-parcel banner says MM did not include N units — they are in MM shortages, with View MM shortages for users with Documents access; the parcel bar shows MM shortages: N units.
- The shortage waits under Documents → MM shortages. When stock arrives in Subiekt, click Issue MM on the row again. The next MM document takes the new stock. If someone moved the goods manually in Subiekt, use Settle (MM shortages — when Subiekt does not have enough goods for an MM document).
If Subiekt does not respond, is disabled or has no matching warehouse, the parcel still closes. No ERP draft is created; the whole parcel waits in the shortage list with a reason. Until an MM document exists, Subiekt still counts the goods as available in the warehouse. Do not leave this unresolved.
Goods coming back
The manager configures whether and how goods return on the route. There is no list of expected returns: receive what arrives, including items from before the system; physical units are not tracked.
| Return route | What to do |
|---|---|
| No return (e.g. manufacturer) | Nothing; goods do not return |
| Through Receipts (our workshop flow) | WMS2 → Receipts → Receipt from our warehouse. Choose the route; it suggests dispatch warehouse (e.g. Wasilków) and receiving warehouse (e.g. MAG). Change them if the manager allows. Scan everything received and put it away like a delivery. A manager confirms the receipt in the Receipts panel, creating a reverse-direction ERP draft for what Subiekt has in the workshop warehouse. |
| Through bulk returns (items for reassessment) | Bulk returns → New parcel, scan and assess each item, Close parcel, then Export MM. Source warehouse is the route warehouse (e.g. workshop); destination is our return warehouse (Consolidated and bulk returns — ZRS cartons, AY parcels, and warehouse parcels). |
Confirming a return and Subiekt. A manager confirms a Receipt from our warehouse in Receipts. Confirmation does not wait for Subiekt or roll back if it fails: the receipt is confirmed, then an ERP draft (e.g. Wasilków → MAG) is created for stock in the return-from warehouse (Wasilków in our setup). Shortages appear under MM shortages. The banner says MM did not include N units — they are in MM shortages; the terminal tile shows MM shortages: N. Issue them from the list as you would a shortage after parcel closure (Blind receipt or ASN — and why it resumes an old one, MM shortages — when Subiekt does not have enough goods for an MM document).
If Receipt from our warehouse is missing, no route returns through Receipts (the goods do not return or use bulk returns), routes are disabled, or your role lacks Receipts > Receipt from our warehouse permission.
