MM shortages — when Subiekt does not have enough goods for an MM document
Closing a parcel, “Create MM,” approving a return, and “Export MM” for wholesale do not wait for Subiekt. If goods are missing from the source warehouse, MM takes what is available and leaves the rest on the “MM shortages” list in Documents.
Subiekt rejects an MM document that takes more from a warehouse than it holds. So whenever an action needs to send an MM to ERP, it first asks Subiekt for the source warehouse stock and issues MM for what is available. Anything missing is not lost: the action leaves one row on the MM shortages list and keeps it open until everything has been included in MM or someone reconciles the shortage.
None of these actions waits for Subiekt or rolls back because of it. The parcel closes, the receipt is approved, and Create MM does its work even if Subiekt does not respond; the whole shortage then waits on the list with a reason.
Where the rows come from
| Action | Where | Which warehouse Subiekt checks |
|---|---|---|
| Export MM | Wholesale return (Consolidated and bulk returns — ZRS cartons, AY parcels, and warehouse parcels) | The source warehouse selected in the export window |
| Create MM | Put away → To another warehouse → To shelf (Return transfers — routes to another warehouse (such as Defects), a workshop, or a manufacturer) | The “From” warehouse in the route (MAG in our setup) |
| Close parcel | Put away → To another warehouse → Into parcel (Shipping to a parcel for repair or a manufacturer — packing, dispatch and return) | The “From” warehouse in the route (MAG in our setup) |
| Approve a receipt | “Receipt from our warehouse” in Receiving (Blind receipt or ASN — and why it resumes an old one) | The “To warehouse” in the route (Wasilków in our setup) |
A company without a Subiekt integration does not check stock: MM includes everything and the row closes immediately.
What you see after an action
- A message: MM did not include N units — they are in MM shortages. If Subiekt did not respond, the reason appears below it, along with a View MM shortages button (visible to people with Documents access). The message remains on the screen until the next scan or action.
- An MM shortages: N units chip on the screen where you are working: beside Create MM on the shelf, in the parcel bar, below the Receipt from our warehouse tile in the Receiving terminal, and beside Export MM in a wholesale parcel. N is the number of open rows for that source. The chip is hidden at zero. Click it to open the list filtered to that source. People with Documents access can see the chip; everyone can see the post-action message.
- A count of open rows beside Documents in the menu and on the MM shortages tab.
N in the message and chip is the number of units not included in MM — the goods were moved in the warehouse; only the MM document is missing them. The count beside Documents and on the tab is the number of waiting rows.
Step by step: use the list
- Open Documents and select the third tab, MM shortages. It is visible to people with Documents access. Each person sees rows for warehouses the goods leave and that are assigned to them, as with other documents. You can share
/documents?tab=mm-shortages, including filters. - The list initially shows Open. The switch above it has three views: Open, Closed, and All.
- Narrow the list with Product, SKU, EAN, or source, or the All sources filter (Wholesale return, To shelf, Into parcel, Receipt from our warehouse). If you arrived from a chip on a work screen, One source only is shown; click its cross to remove the filter.
- A row shows its source (description, kind, and link to the wholesale parcel or document), From → To, the shortage (Short 2 of 5 units), issued MM numbers (click to open the document; middle-click to open a new tab), and who created the row and when. Below the shortage, you can see why MM was not created or what has already been handled (In MM: 3 units, Manually reconciled: 2 units).
- Expand the arrow on the left to see each product in the row: SKU, name, EAN, Needed, In MM, Manually reconciled, Short, and Subiekt stock. The last column shows source stock at the last check. Not in Subiekt means Subiekt does not know the product; Not checked means Subiekt has not yet replied for that product; a dash means the product has no shortage.
Create MM — after stock arrives
For an open row, click Create MM. The system asks Subiekt again and creates another MM document for goods that have arrived since the previous check. Repeat until the row is closed. The button is visible to people with write access to Documents; the person creating MM must have permission to add documents in the warehouse the goods leave.
The result message shows:
- Created MM/… for N units; M units remain — some were included, the rest are still waiting.
- Created MM/… for N units — nothing is missing now — the row is closed.
- This product is still missing in Subiekt — MM was not created — Subiekt replied, but there is no additional stock.
- MM was not created: … — Subiekt could not be queried or the document could not be created (see reasons below).
The MM document waits as a draft in Documents until ERP retrieves it. Do not approve it manually; it is locked for viewing.
Why MM was not created
The reason appears in the post-action message, in the wholesale return export window, and as a yellow chip on the list row.
| Reason shown | What to do |
|---|---|
| Subiekt did not respond | Try again shortly. If this keeps happening, tell your manager. |
| The Subiekt integration is disabled | Tell your manager; the integration needs to be enabled. |
| The source warehouse is not linked to a warehouse in Subiekt | Tell your manager; the warehouse has no matching warehouse in Subiekt. |
| More than one Subiekt integration — cannot tell which one to query | Tell your manager. |
| A message about the MM document type or its numbering, for example The company has no active MM document type… | The message says what is missing and where to fix it: Settings → Documents → Document types or Numbering. Fix it or pass it to someone with settings access. |
| Could not create MM | Another reason. Tell your manager. |
In every case, the row stays open with the full shortage, and you can retry Create MM after the issue is fixed.
Reconcile — when someone moved the goods manually in Subiekt
If someone handled the rest directly in Subiekt, do not create MM; reconcile the row. Open the row's ⋮ menu → Reconcile → confirm Reconcile shortage? Reconciled units will not be included in any later MM. When the entire shortage is reconciled, the row closes. This button appears only for a row with a shortage.
Correct a mistake from ⋮ → Undo reconciliation (confirm Undo reconciliation?). The manually reconciled quantity becomes a shortage again, and a closed row returns to Open.
Good to know
- Nothing retries automatically. Someone must click Create MM or Reconcile.
- You cannot delete or cancel a return whose units put away on a shelf are waiting in an open row until the row is closed.
- Only an MM document can be created from this list. Reconciliation does not create any document.
- Wholesale return shortages now appear here as Wholesale return. The MM shortages tab in wholesale returns remains as a link to this list.
