Document types — 46 ready-made types and what each configures
The type determines everything: whether a document changes stock, what it requires, and what you can do with it afterward. There is no “MM” or “FV” type.
A document type determines whether a document changes warehouse stock, requires a business partner, needs certain dates, and can be corrected, fulfilled, duplicated, or printed.
Go to Settings → Documents → Document types. Load the ready-made set of 46 types in 10 categories with the load defaults button.
Step by step
Load the ready-made types
- Open Settings → Documents → Document types.
- Click Load defaults (46 types) above the list. Its tooltip warns: Copies system document type templates to your company. Existing types will not be overwritten.
- Read the message, which gives the counts: Loaded: N categories, N types (N skipped).
- Check the Active column: every newly loaded type has a red No. They will not appear in the create document form until you change this.
Activate a type
- Enter a type code or name, for example
WZ, in the Search... field above the list. - Click the pencil icon on the type row (tooltip: “Edit”). The Edit document type drawer opens on the right.
- Expand the Identification panel and turn on Active.
- Scroll to the bottom of the drawer and click Save. The Active column will show a green Yes.
Repeat for every type the company actually uses. Leave the rest inactive to keep the document type list shorter.
Configure a type's requirements
Everything is in the same drawer, in collapsible panels. Open a type with the pencil icon, then go through the panels and skip the ones you do not need to change.
- Expand Behavior and decide whether the type affects stock: Affects stock and Direction. This panel also has Requires items, Initial status, Auto-approve, and Partial fulfillment.
- Expand Numbering and decide whether the type needs a number (Requires numbering) and when to assign it: Number on creation or Number on approval. Set Gaps allowed and Manual number editing too.
- Expand Items (lines) and enable the requirements for each line: Requires product, Requires price, Requires VAT, Requires location; also set whether it allows Batch number, Serial number, and Expiry date.
- Expand Business partner and values and set Requires business partner and Business partner type. For documents with monetary values, set Has values, Price type, and Rounding.
- Expand Operations and choose what can be done with a completed document: Corrections, Fulfillment, Merge, Duplicate, Print, Export, and Email delivery.
- Fill in the type codes for these operations: Correction type code, Fulfillment type code, and Merge target type code.
- Expand Dates and approval and select the required dates (Issue date, Sale date, Payment due date, Default term (days)), and set Requires approval and Hold stock until approval.
- Click Save; this saves every panel at once.
In code fields, enter the code of the target type, for example KFS. Enabling the operation is not enough by itself; the operation will be refused without a target code.Commonly used codes
| Group | Codes |
|---|---|
| Sales | FS Sales Invoice, KFS FS Correction, FZ Advance Invoice, KFZ FZ Correction, PAR Receipt, KPAR Receipt Correction, PRO Pro Forma, RK Bill |
| Purchases | FZK Purchase Invoice, KFZK FZK Correction, ZZ Purchase Order |
| Dispatch | WZ External Issue, KWZ WZ Correction, RW Internal Issue, MMW Inter-warehouse Transfer Issue |
| Receipt | PZ External Receipt, KPZ PZ Correction, PW Internal Receipt, MMP Inter-warehouse Transfer Receipt |
| Returns | ZWR Customer Return, RZ Complaint, PRN Discrepancy Report |
| Stocktaking | INW Stocktaking Sheet, KINW Difference Report, KINW_N Shortage Report |
| Orders | ZS Sales Order, OF Sales Offer |
| Finance | KP Cash Receipt, KW Cash Payment, WB Bank Statement, KOMP Compensation, WEZ Payment Demand |
Watch the names. There is no singleMMtype and noFVtype. An inter-warehouse transfer is split into MMW (issue) and MMP (receipt), and a sales invoice uses code FS. One more pitfall:FZis an advance invoice, while a purchase invoice uses codeFZK.
What a type configures
- Whether it changes stock and in which direction — adds, removes, transfers, or does not affect stock.
- Whether it requires a business partner, and which kind: any, customer, supplier, or internal.
- Which dates it requires — sale date, payment due date, and the default payment term in days.
- What an item requires — product, price, VAT rate, location; and whether it allows batches, serial numbers, and expiry dates.
- Whether it has monetary values, calculates from net or gross, and how it rounds: per line, in the summary, or not at all.
- Whether it requires an approval path and whether stock is held until approval.
- What can be done afterward — correction (and which type), fulfillment (and which target type), partial fulfillment, merge, duplicate, print, export, and email.
- Whether it is paired with another type (MMW with MMP), and whether the pair is created automatically.
Two setup pitfalls
- Types copied from system templates arrive inactive in your company. Until activated, they will not appear in the create document form. This is the most common reason for asking “why can't I see this type?”
- You cannot delete a type while documents of that type exist. The message tells you how many and suggests deactivating it. System types cannot be deleted at all. The same applies to categories: neither system categories nor categories assigned to types can be deleted.
