Filtering products
Search, advanced filters, and why it is useful to start by selecting a catalog.
Search above the list looks in name, SKU, and EAN, each as a text fragment. If you enter only a number, it also matches a product with exactly that internal ID. For narrower searches, use the Filters menu in the bar above the list.
The Filters button shows the number of active filters. Active filters also appear as chips below the bar—× on a chip removes one; Clear filters removes them all.
Quick filters in the Filters menu
The Filters menu has a Quick filters section: Active, Inactive, No category, Missing translation, No photo, New 7d, and Incomplete <80%. Each is a checkbox with the number of products remaining when enabled (calculated when the menu opens).
Two—missing translation and incomplete—are disabled until you select a catalog. Without a catalog, the system does not know what is required, so there is nothing to count.
Missing translation means the product has no name in one of the catalog's active languages. The product name is its name in the catalog's default language, so that language is always satisfied. When you view the list in a language other than the default, the chip checks only that one language.
Saved views
The View menu saves the current set under a name: conditions, quick filters, catalog, and column layout. A view can be visible to Only me or the whole company (Entire company). A star marks a view as default; the list then opens already filtered, which can be confusing if you do not know about it.
Save a view — step by step
- Set everything to include in the view: catalog, quick filters, conditions, and columns.
- Click View above the list.
- Click Save as….
- In Save view, enter Name and choose Visible to: Only me or Entire company.
- Click Save.
Later, open View and select an item under My views or Company views. The star means Set as default / Remove as default; the trash icon deletes (your own views only). Save changes to an open view with Save changes; column changes save to it automatically. An empty menu says No saved views.
What you can filter by
Group one—identification and catalog: SKU, EAN, External ID, Product Name, Catalogs, Status (Active / Inactive), Dimensions (Has dimensions / No dimensions).
External ID searches for an exact numeric match, not a text fragment, unlike SKU, EAN, or name, which allow partial values. Entering a non-integer causes an error rather than an empty result or an ignored filter.
Group two—categories: Categories, Has Categories (Has Categories / No Categories). The latter directly answers “Which products have not been categorized yet?”
Group three—prices and stock: Price Groups, Min Price, Max Price, Stock Status (In Stock / Out of Stock / Low Stock), Min Stock, Max Stock.
Group four—dates: Created and Updated fields. Each opens a list of preset ranges (Today, Yesterday, Last 7 days, Last 30 days, This month, Previous month), followed by From and To fields for a custom range.
Product Name searches only the name (search above the list also covers SKU and EAN). Min Stock / Max Stock compare the stock shown in the column: in the selected warehouse, or, with “all,” the sum across warehouses; a product with no stock has 0. Stock Status with a selected warehouse also checks only that warehouse. Date ranges include the whole selected day: Created To May 14 also includes products added on May 14.
The Dimensions filter is for a specific task: without dimensions, a carrier cannot price a shipment, so the list of missing dimensions is a list to complete.
Start with a catalog
Selecting a catalog does more than narrow the result. It defines required attributes, languages, and price groups, so only after you select one:
- the completeness column appears;
- bulk attribute editing knows which attributes are available;
- import can recognize attributes by code.
Filters are in the URL
Selected filters are saved in the page URL. A copied link opens the same result for someone else—the easiest way to send someone a list to fix without explaining “select catalog X and check no category.”
Keys
Q focuses search, F opens the filter panel, and R reloads the list. They work only on the list tab.
Warning about bulk actions
Selecting “all matching filters” takes the entire result, not only the visible page. Changing filters after selection changes the set the operation applies to—check the selected count before running an action.
