Knowledge base — how to use it
Documentation is available to every signed-in user, regardless of roles. Browse it, search it, or ask the assistant about it.
Everyone has access
The knowledge base is available to every signed-in user, regardless of roles or permissions. Even an account with no roles — newly created and waiting to be assigned — can read it (Company administrator and superadministrator — who bypasses what).
This is deliberate: someone who does not know why they can see nothing at least has somewhere to read about it.
Three ways to reach an article
- Browse — the knowledge base home page, with articles grouped into sections.
- Search — the field at the top; you can share a result as a link.
- AI assistant — ask in ordinary language; the answer includes links to articles (The assistant and the knowledge base — why it prefers silence to guessing).
The third route is often quickest for “how do I do this?” questions; the first is useful when exploring a new area.
How search works
A question is split into words, and articles are scored based on where those words appear. The title has the most weight, then the questions an article lists, then the lead, and finally the content.
Practical tips:
- Write a complete sentence. Search understands questions, not just keywords.
- Word inflection is not a problem — “status,” “statuses,” and “status’s” find the same thing.
- Write document codes in uppercase —
PZ,WZ,MM. Capitalization distinguishes codes from prepositions. - Do not type the whole question in uppercase — code recognition stops working.
- Short and very common words are ignored because they do not help distinguish results.
Sections without articles are hidden
The home page shows only sections that have content. The tree is generated from the menu structure, so most empty sections are topics still to be written — and readers shown forty tiles leading nowhere stop coming back.
When something is missing
Ask the assistant. A question that does not find an article is recorded, along with the number of times it is repeated — this becomes the documentation backlog. The more often people ask something without success, the higher it moves in the writing queue (The assistant and the knowledge base — why it prefers silence to guessing).
There is no point repeating the same question many times. Once is enough.
What you will not find here
The knowledge base describes how to use the system. It does not contain your data — for “how much stock do we have?”, the assistant checks the system rather than the documentation (AI Assistant — what it can do and where it gets its answers).
