AI Assistant — what it can do and where it gets its answers
The assistant does not guess. It retrieves specific data from the system and from the knowledge base; what it can do depends on your permissions.
The assistant is not a general-purpose chat. It has a specific, limited set of functions: it queries the system for data and formulates an answer.
Step by step
Asking a question in the side panel
- Click the assistant icon in the top bar. Its tooltip says Assistant; while it is calculating an answer, it changes to Assistant is working...; when an unread answer is waiting, it says Assistant replied.
- A panel opens with the heading Assistant and an AI badge. The first time you open it, it displays a greeting: Hi, I'm the Noxti assistant. Ask me about your data or how to use the system.
- Above the input field are four suggested questions tailored to the screen you are on. The Other questions chip draws four more. Below them is a notice: Your questions are used only to provide answers and are not used to train models.
- Enter your question in the Ask the assistant... field and press Enter (or click the send button on the right side of the field).
- While it works, the panel shows successive stages: Reading your question, Choosing a tool, Collecting data, Preparing an answer. After several seconds, Still working — this is taking a little longer may appear.
- Stop an answer while it is being generated with the Stop button. The conversation will then contain the message Stopped.
- A fixed footer below the input says: The AI assistant can make mistakes. Verify important information. Take this seriously when making costly decisions.
- The Clear button (visible only after the conversation has started) clears the screen, but does not delete the conversation from the server (Assistant limitations and common misunderstandings).
Checking what you can ask in your role
- Ask the assistant about an area you are interested in, for example, “how many orders are waiting for approval?”
- If the answer is No plugins available., your role does not grant access to any data area. Contact the roles administrator, not technical support.
- If you see AI is not configured for this company., an AI integration has not been connected (Configuring the assistant — integration, model, prompts, and costs). In the side panel, this sentence is replaced by a banner saying The assistant is not configured for this company with an Open knowledge base button. The full page has no such banner and displays the raw message from the server.
- Regular module permissions open access to data areas. Find them under Configuration → Team and access → Roles and permissions, on the Module permissions tab: Orders, Products, Warehouse and returns, Locations, Customers, Shipments and labels, Integrations, Documents. Questions about automations open Settings; questions about the dashboard and sales open Reports; diagnostic questions open Advanced (IT / diagnostics).
- The knowledge base is an exception: it answers every signed-in user, even an account without any role (The assistant and the knowledge base — why it prefers silence to guessing).
Opening the full page with conversation history
- Side menu → Tools → AI Assistant. The menu item itself requires permission for the AI Assistant module.
- On the left is a Sessions drawer with a Search sessions... field. Conversations are labeled Session #number or New conversation; when there is no history, No sessions appears.
- The page heading is AI Assistant and contains two lists: AI model and Template. The selected model applies to this conversation (Configuring the assistant — integration, model, prompts, and costs).
- The empty window greets you with How can I help? and five suggested questions.
- Enter your question in the Type a message... field.
- Copy a link to a specific answer using the Copy link to message icon beside the message. The confirmation says Copied!. This icon works only on the full page — in the side panel it looks the same and displays the same confirmation, but does not copy anything.

What you see depends on your permissions
The assistant only receives the functions you are allowed to use. A role without access to reports cannot ask about sales — the assistant does not even know that this option exists.
In practice, two people can get different answers to the same question, and that is correct behavior, not a fault.
If you are told that no functions are available, your role does not grant access to any area (Assistant limitations and common misunderstandings).
The knowledge base is always available
There is one exception: every signed-in user can access the knowledge base, regardless of their roles. Even an account without any role can ask “how do I do this?” and get an answer from the documentation (The assistant and the knowledge base — why it prefers silence to guessing).
Where to open it
- Top-bar icon — opens the side panel anywhere in the system.
- Full page — includes conversation history, model selection, and the option to copy a link to a specific answer.
- Corner bubble — appears only after minimizing the panel and can be disabled.
The panel suggests questions tailored to the screen you are on — on the orders list, for example, it will suggest questions about orders.
The assistant can make mistakes
Answers are based on real data, but are written by a language model. Check the source data before making costly decisions. The panel footer says the same.
