The “Needs checking” flag — a freeze, not a note
This is not a colored marker. By default, the flag blocks warehouse movements at the location until it is cleared.
Needs checking and Active are two different things:

Step by step — raise the flag from the office
- Open the Location browser (warehouse dashboards).
- Find the shelf using the Warehouse, Zone, Type, or Stock level filters, or search by code.
- In the Actions column at the end of the row, click the eye with magnifying-glass icon. Its tooltip says Report for checking.
- The Report for checking dialog opens and asks Report location CODE for checking?
- Read the orange warning. It explains exactly what will happen: As long as this flag is set, goods cannot be issued from this location. Stocktaking will open only if the administrator enabled a rule for reports from the office — otherwise, remove the flag here after the shelf has been checked.
- Press Confirm. Cancel closes the dialog without changes.
- If the company’s rule opened a stocktake, the dialog stays open and shows the green message A stocktake NUMBER was opened for this location. Close it with Close. If there is no rule, the dialog closes automatically. Without a count, this kind of flag lasts at most 15 minutes — then the system removes it automatically. If you want someone to actually count the shelf, ask the administrator to enable the rule for office reports.
- An orange Needs checking marker appears in the row, and the action icon changes to a crossed-out eye.
Step by step — clear the flag
- Return to the Location browser and find the shelf. The Needs checking tile at the top shows how many there are, but does not filter the list — use the Control filter in the Locations list in Settings, or search by code, to find frozen shelves.
- Click the same action icon in the row — now a crossed-out eye, with the tooltip Withdraw report.
- The dialog asks Withdraw report for location CODE? The freeze warning is gone — you are removing the freeze, not adding one.
- Press Confirm. The marker disappears and the shelf returns to circulation.
The refusal messages in these dialogs are specific: You do not have permission to perform this operation when permission is missing, a server message for a conflict (for example, a count is in progress at the shelf), and Could not save the change for anything else.
What it blocks
In the default (strict) mode, every attempt to move stock at the location is rejected — picking, put-away, replenishment, or goods receipt. The message identifies the location code, stocktake task number, and operation that failed.
In soft mode, the movement goes through and the system records a warning in the log. The mode is set in stocktaking settings for the whole company.
Strict mode is the default by design: a movement during a count would make the count results meaningless.
Where it comes from
- The office raises the flag manually from the Location browser using the action on the row.
- Stocktaking raises it automatically during the count.
- Replenishment raises it when an operator reports that a shelf is short of stock. This prevents the process that creates tasks from orders from repeatedly issuing the same task for the same empty shelf.
How to clear it
Use the same button used to raise it. The flag must be reversible — otherwise an accidental freeze would be impossible to fix without an administrator.
You do not have to monitor it yourself: a flag with no count started for 15 minutes is removed automatically. A flag with an active count is cleared only by that count, when it is completed or cancelled.
Where it appears
The Control filter (All / Needs checking / OK) in the location list, a column in that list, and the Needs checking tile in the Location browser.
The separate Last stocktake field shows when the shelf was actually counted. Only stocktaking updates it — manually clearing the flag does not change it.
