Which documents are created and which one changes stock
A count sheet, an adjustment, and an optional mirror for ERP. Exactly one of them changes stock.
| Document | When it is created | What it does |
|---|---|---|
| INW — count sheet | when the operator presses “Finish”; always if there are discrepancies | audit trail, does not affect stock |
| KINW — adjustment | when closing with any decision other than Reject or Skip | the only document that changes inventory |
| PW / RW | only when the company has generation enabled | mirror for ERP, in draft form; do not change stock a second time |
There is one adjustment with entries in both directions: overages add stock, shortages subtract it.
Step by step
Before closing the first task: check document types
- Go to Settings → Documents → Document types.
- Check that document types with the codes
INW(count sheet) andKINW(adjustment) exist. - If Auto-generate PW/RW for ERP is enabled under Settings → Warehouse → Stocktaking, also check for
PWandRW. - A type can be company-specific or system-provided. The system uses the company type first, and falls back to the system template if there is none. Closing a task is blocked only if both are missing.
Check which documents were created when a task closed
- Go to Warehouse and logistics → Stocktaking and click Open in the task row.
- At the top of the Stocktaking review screen, read the Task closed. Documents: banner; clickable badges appear next to it.
- Stocktaking report is the INW count sheet. KINW is the adjustment that changed stock. Click a badge to open the document.
- Waiting for ERP means that the ERP mirror was created, but the external system has not retrieved it yet.
- Nothing was created? Check Related documents. With the Reject and Skip decisions, you will see No documents issued.
Check how many documents are waiting for ERP
- Open the Warehouse and logistics → Stocktaking dashboard.
- Look at the ERP to download KPI tile.
- Click it to open a document list filtered to documents the automated integration has not retrieved yet.
- If the number grows each day, the integration has stopped retrieving documents. Report it to an administrator; stocktaking itself will continue to work.
Documents for ERP
PW and RW are not another adjustment; they are a representation of the same adjustment in a format the external system understands. They contain the same items as the warehouse adjustment, except items for which ERP adjustment was unchecked. They can be approved automatically so ERP can retrieve the completed document.
The ERP to download KPI on the dashboard counts these documents that the external automation has not yet retrieved. A rising number means that the integration has stopped retrieving them.
Prerequisite
Document types must exist in the dictionary: the count sheet and adjustment always, plus PW and RW when the mirror is enabled. A missing type causes an error when closing a task, not during setup—the worst possible moment. Check before the first count.
Error found afterward
Undoing an adjustment cancels the issued adjustment documents (reversing the warehouse movements). For ERP documents that have already been sent externally, it issues compensating documents. The task remains closed; only the adjustment documents change.
For now, this is available only through the API; there is no button in the interface yet.
