Carrier labels — generation, reprinting, expiration
A label is created while packing or from the order card and saved as a file attached to the order. Generating a new one permanently invalidates the previous one.
A label is created in one of three places: while packing in the kiosk, from the order card, or through an automation rule. Regardless of the route, it is saved as a file attached to the order and appears in the document list (Document tracking — files attached to orders).
Step by step
Generate a label while packing
- In the kiosk, enter Packing mode and scan a basket—the banner prompts Scan basket.
- Scan products by EAN until the banner stops asking for more. Labels are created once, at the end, for all parcels. Trying earlier displays “Packing is not finished. Scan the remaining products…”.
- Notice the large button at the bottom—it is one button whose label changes:
- Close package when the current package can be closed and you are packing several,
- Label · how many parcels? for cash-on-delivery shipments,
- Generate label in other cases.
- Click it. For COD, the kiosk first asks How many parcels? (COD — one label)—enter the number.
- If the channel has not identified the carrier unambiguously, the kiosk shows Choose carrier—select one.
- For carriers that require a parcel size, Choose parcel size appears: tap or scan code S, M, or L. This question applies only to an InPost parcel locker, including when the parcel is sent with Allegro Courier (the “Allegro Paczkomaty InPost” delivery method). Other Allegro pickup points (DPD Pickup, Orlen Paczka, DHL POP) have no size selection, and the terminal does not ask for one. Without a specified size, Allegro would create the locker shipment using default carton dimensions, usually size B.
- The banner shows GENERATING LABEL…, followed a moment later by the result. The label prints on the station printer.
If you see NO PRINTER AT THIS STATION, the label will still be purchased from the carrier, but will not print here. Move to a station with a printer.
Reprint a label in the kiosk
- Open Station actions.
- Select Reprint.
- If the order has several documents, the kiosk shows Choose document—select Label.
- The banner confirms Reprinted. No document to reprint means there is nothing printable, usually because the label has expired (see below).
Reprinting does not buy a new shipment. It prints the same file.
Generate a label from the order card
- Open the order and scroll to Create shipment. Each available carrier has its own button there, labeled with its name.
- Click a carrier button and choose Create shipment from the expanded list. The label-creation panel opens. If no carrier is available, Create manually remains—but that enters shipment details without ordering it from the carrier.
- Check the Carrier field. If the delivery method is mapped, the carrier is already filled in with the from mapping marker (Delivery-method mapping and shipment validation); otherwise use Choose carrier.
- For InPost lockers, specify Locker size—Scan or tap S / M / L. Without this, the panel refuses with Choose locker size. For Allegro Courier, the field appears only for delivery to an InPost locker; other Allegro pickup points do not have it.
- Expand Shipment details and set Number of parcels and, if you need to override the defaults, Weight (kg), Length (cm), Width (cm), and Height (cm). Empty fields use the values shown beside them as Default:.
- In Label note, enter what should print in the carrier's text field. Below On carrier label, the final text is shown: green is supplied by the label template (Label templates — what the company prints on parcels, such as the order number), blue is your text, and strikethrough text is what this carrier will not print because of its character limit. Append to template note is selected by default and appends your text to the template, preserving the order number. If unchecked, your text replaces the entire note, including the template's order number. The carrier's own additional note (for example, a store number for InPost) is still appended at the end and is truncated first. An empty note prints only the template (including the buyer's comment if the template uses it). A carrier that does not print notes shows neither a preview nor the switch. When confirming an InPost draft, the note is included on the label while the carrier has not yet confirmed the reservation; otherwise the panel will say it did not arrive.
- Click Create label—for several parcels, the button is Create N labels. Confirmation is Label created. If you need a shipment without a sticker, use Without label or Shipment only.
- A shipment created without a label gets the Draft — waiting for label marker. Generate the label later with Generate label beside that shipment.
- Download the finished file with Download beside the document.
Formats
Formats depend on the carrier. Most often they are PDF; some connectors also offer ZPL or EPL for label printers. One returns the label as an image—the system converts it to PDF when saving, so you still see a PDF in the list (carrier support is described in shipment tracking).
Reprinting
The packing kiosk has a separate reprint action. Important: reprinting does not invalidate the previous label—it prints the same one. If the printer fails, you will be told instead of seeing a silent “done.”
Generating a new label invalidates the old one
This is the behavior people most often trip over:
Generating a new label for the same parcel marks the old one as expired. The file remains, but it can no longer be opened or printed—the kiosk will refuse to print a superseded label.
This prevents an outdated tracking number from being attached to a parcel. But there is a side effect:
Expiration cannot be undone. If the carrier returns a label with the same name—and a label name contains the shipment number and order number—downloading it again hits the same, still-expired record, which remains unavailable.
Practical takeaway: do not generate a label “just to try it” for a parcel you are about to ship.
File naming
Labels are saved predictably as PARCEL_<shipment number>_<order number> (returns use RETURN_). This makes searching by document name work like searching by shipment number.
A parcel without a known number gets a random suffix. This is normal for carriers that assign the number later.
DPD: postal code without spaces or hyphens
DPD accepts recipient and sender postal codes only as a string without spaces or hyphens. The system removes them automatically when creating a shipment: 140 00 (Czechia) is sent as 14000, 811 01 (Slovakia) as 81101, and 00-950 as 00950. Letters remain: 1234 AB (Netherlands) is sent as 1234AB. You do not need to edit the address in the order manually.
Allegro Courier: phone number with country prefix
Since October 1, 2026, Allegro accepts sender and recipient phone numbers only with a country prefix (for example, +48); some Allegro carriers also require the prefix to match the address country. The system adds it automatically when creating a shipment: 690 483 872 for a Polish address is sent as +48690483872; 901 234 567 in Slovakia as +421901234567. A number already entered with a prefix (+48…, 0048…, or even a foreign +49… for a Polish address) is left as entered. You do not need to edit the sender phone in settings or the customer's phone—other carriers still receive the number in its previous form.
InPost works the other way around: it accepts exactly 9 digits, without +48 and without spaces. The system records the format each carrier accepts—without a prefix (InPost), with a prefix (Allegro), or as entered (others)—and automatically converts the sender, recipient, backup, and carrier-pickup phone numbers to that format. +48 690-483-872 is sent to InPost as 690483872 and to Allegro as +48690483872. You can therefore store the sender phone with or without +48; both carriers will accept it. An international number (for example, +49…) passes through to InPost unchanged, and InPost will report it as invalid—InPost ships within Poland only.
Parcel-count limits
Several carriers impose a hard limit on the number of parcels in one shipment; for some, the limit depends on the shipment type. See the carrier support overview in shipment tracking.
Permissions
Generating labels and working with shipments requires the Shipments and labels permission, separate from the Deliveries permission that opens the menu itself (Tracking permissions — the trap of two separate grants).
