Customer export — scope, columns, and the filter trap
CSV or XLSX, with selectable columns and scope. Two-factor authentication must be enabled — and note that some filters are not passed to the export.
Step by step
- Go to Orders → Customers.
- Set filters so the list contains the records you want to export — or select specific rows. Read the filter-trap section below first: when using filters with an upper limit, manual selection is safer.
- Click Export above the list. If rows are selected, the same screen also offers Export selected in the blue selection bar — both open the same dialog.
- In the Export customers dialog, choose a format: Excel or CSV. Excel is selected by default; the button says “Excel,” not “XLSX.” CSV uses semicolons as separators.
- Under What to export, choose a scope: All customers after filters or Selected customers only. Each option shows the number of records. The second option is disabled until you select something; if you opened the dialog with a selection, the system selects it automatically.
- In Columns, select the columns for the file. Column names are in English —
ID,Name,Surname,Email,Phone,VAT,Identity,Country,Orders,Total spent,Currency,Last order,B2B (Mother box)— and appear the same way in the file header. Default and All set the selection with one click. The default set omitsVAT,Identity, andB2B (Mother box)— select them yourself if you need them. - Click Export. With no columns selected, the button is disabled and the dialog says Select at least one column.
- If a two-factor authentication dialog appears, enter the code and the export will continue automatically — see the section below.
The file is downloaded by the browser, and the dialog closes automatically. There is no separate success message — the downloaded file is the confirmation.
Formats and scope
CSV (semicolon-separated) or XLSX (labelled Excel in the dialog). You can choose the scope: All customers after filters or Selected customers only.
Columns: record number, first name, surname, email, phone, tax number, identifier, country, order count, total spend, currency, last order date, and B2B flag. You choose columns in the export dialog.
2FA must be enabled
Bulk export and deletion require two-factor authentication to be enabled — merely confirming the action is not enough; the feature itself must be enabled.
Without it, you will see a denial and be redirected to security settings (Two-factor authentication (2FA) — enabling it, backup codes, and disabling it).
This is intentional: exporting the customer list takes personal data out of the system.
The trap: export can include a wider set than the one on screen
The most important point in this article:
When you export the filtered results, only some of the applied filters are passed on. The following are not passed on: upper limits on order count and spending, balance filters, and the returns filter.
As a result, the file may contain more customers than you see on screen.
The same trap applies to bulk deletion with “select all pages” enabled — the operation covers a wider set than the one displayed (Deleting customers).
How to protect yourself: if you use range filters with an upper limit or balance filters, select the rows manually and export the selection instead of relying on the filtered results.
Export respects masking
Fields masked for your role appear masked in the file. Export is not a way to bypass field permissions (Masking customer data — who can see what).
Rate limit
Export is limited to 60 runs per hour per user. If you are working with a large customer registry, plan your exports instead of repeating them by trial and error.
