Removing a user — remove them from the company, not their account
“Delete user” removes access to your company, along with roles, departments, and warehouses. The account itself remains active, including access to other companies.
The Delete user action sounds more severe than it is. It does not delete the account — it removes the user’s membership in your company.
Step by step
- Consider whether deactivation is enough — the table at the end of this article can help you decide.
- Go to Configuration → Team & Access → User Accounts.
- Find the person and open the three-dot menu in their row.
- Choose Delete user. The Delete user dialog asks you to confirm and warns: “This action cannot be undone.”
- Check the name in the dialog — you are confirming a specific person, not a selection.
- Click Delete. Click Cancel to close the dialog without changes.
- If a window asks for a 2FA code, enter it (2FA confirmation when changing permissions).
- Check that the person disappeared from the list. If they are still there and you saw a denial message, it is probably your own account or another administrator in this company (see “What you cannot do”).
What is removed
In one indivisible operation: the person’s roles in this company, department assignments, warehouse assignments, and company membership itself.
What remains
The user account, password, 2FA, personal settings, and access to every other company they belong to. Nothing changes for those companies.
That is the expected behavior in a multi-company system: one account can serve several companies, and leaving one must not erase the person’s work in the others.
What you cannot do
- You cannot remove yourself. The operation is rejected.
- You cannot remove a superadministrator or another administrator of this company (Forgotten password and blocked access — what an administrator can and cannot do).
Required permission: users with write access.
Remove or deactivate
| Situation | What to do |
|---|---|
| Leave, suspension, or temporary removal | Deactivate — the account and history remain |
| Leaving the company | Remove from company |
| Person also works for another company in the system | Remove from company — their other access is untouched |
| Suspected account takeover | Deactivate immediately, then investigate |
Deactivation can be reversed with one switch. Removing someone from the company means adding them again and setting their roles, departments, and warehouses from scratch. If in doubt, deactivate (Editing a user — details, activity, and IP restrictions).
History remains
Removing company membership does not erase records from the change log or login history. You can still check what someone did in your company (Live monitor, login history, and activity statistics).
