User list — cards, columns, and filters
Four cards above the table, six columns, and three filters. “Online now” means activity within the last five minutes.
Step by step
Find someone
- Go to Team & Access → User Accounts.
- Enter part of a name, username, or email address in Search users... above the table.
- Narrow the list using the filters on the left of the bar: All roles, All departments, and All statuses (Active / Inactive). Each filter has an X to clear it.
- Sort by clicking User, Status, or Last activity. The other columns cannot be sorted.
The result, page number, and sort order are saved in the browser address, so you can paste the view into a support ticket.
Take action on one person
- Click the three-dot button at the right of the row.
- Choose an item from the menu:
- Edit user — opens the Edit user side panel (Editing a user — details, activity, and IP restrictions).
- Manage roles — opens Manage roles, with the prompt Select roles to assign to this user. and a Save roles button.
- Effective permissions — a calculated permissions matrix (“Why can’t they see it?” — diagnosing permissions).
- Delete user — opens a warning, This action cannot be undone., and a Delete button. This option is not available on your own row — you cannot remove yourself from the company.
- Saving roles and deleting a user require confirmation with a 2FA code; the 2FA verification required window appears (2FA confirmation when changing permissions).
- A successful action closes the window and refreshes the list; the system shows no success message. Errors are shown: Could not save roles or Could not delete user.
If the three-dot button is not shown at all, you do not have any of the actions in that menu.
Change roles for several people at once
- Select rows using the checkboxes in the first column. The selection column appears only if you have both read and create permission for
roles. - A Selected users: {n} bar appears above the table.
- Click Assign roles. The Bulk role assignment window opens.
- Under Assignment mode, choose one of three options: Add to existing, Replace all, or Remove. The hint below and button label change with your choice: Add roles, Replace roles, or Remove roles.
- Select roles, check the Affected users: list, and click the save button.
- Confirm with a 2FA code. After a successful save, the window closes and the selection is cleared.
- Click Clear selection to discard the selection without making changes.
In Remove mode, if you have not selected any roles, the window warns: Warning: this will remove all roles from the selected users. See Bulk role assignment — add, replace, or remove for details about the modes.
Cards
Four counts appear above the table: Total users, Active, Online now, and Inactive.
Online now means people whose last activity was within the past five minutes. It does not mean “logged in”: someone with a browser tab open who has not clicked anything for ten minutes is not counted here.
The cards count exactly the set currently shown in the table, including the search and all three filters. If a search leaves three people in the table, the cards also report on those three.

You can sort by three columns: user, status, and last activity. Roles and Department cannot be sorted because a person may have several of them.
Filters
Role, Department, and Status (Active / Inactive), plus search.
The Role filter appears only if you have read permission for roles. A person with only users sees one fewer filter — that is expected, not a missing feature.
Filter state is saved in the address, so you can share a filtered view as a link.

Effective permissions shows the calculated module and field-permission matrix for a person. It is the quickest way to answer “why can’t they see this?” (“Why can’t they see it?” — diagnosing permissions).
There is no “deactivate” action in the row menu — the active status switch is in the edit form (Editing a user — details, activity, and IP restrictions).
