VAT rates
A product rate, a template for bulk assignment, and a mapping group that links equivalent rates across countries.
VAT is separate from price groups and formulas. It consists of three concepts.
Step by step
First, create a rate template
On a product, you can select a rate only from existing templates, so create one before using a country that has none.
- Open Settings. In the left column, choose the Catalog section, then the Country VAT rates tab.
- Click Add VAT rate.
- Fill in Name, Country, and VAT rate (%).
- To add the template to a group of equivalents, select it in Mapping group. Create groups on the adjacent VAT equivalents between countries tab with Add mapping group.
- Select Default if this should be the default rate for the country. Saving will reject a second default for the same country.
- Click Add.
Set a rate for one product
- Open a product card by clicking its row on the product list, then open Prices.
- In the VAT column, click Add VAT rate.
- Under Select VAT rate, click the tile with the country code and percentage (for example,
PL 23%). Countries the product already has are not shown. When all are assigned, you will see All rates already assigned. - There is no Save button; VAT rate added confirms the change.
To change an existing rate, click the percentage in the country row and select another value from that country's templates. The trash icon in the row removes the rate.
Assign rates to multiple products
The bulk assignment window is in English.
- Select products on the product list.
- In the action bar, click More and choose Manage VAT rates.
- In Bulk Assign VAT Rates, select a mode: Specific Rate (per country) for one rate in one country, or Mapping Group (all countries) for a complete set of rates from a mapping group.
- Fill in Country and VAT Rate, or select a Mapping Group. Choices come from templates; for a country without a template, the list is empty and the window says so.
- Choose the Set as default VAT rate for these products and Overwrite existing VAT rates switches. Without overwrite, products that already have a rate for the selected country are skipped.
- Click Preview Changes, review how many rates will be added, changed, or skipped, then confirm with Execute.
VAT rate on a product
A VAT rate is assigned to a product + country pair. One product can have rates for several countries, but only one per country.
One of a product's rates can be marked default. Setting another as default automatically clears the previous marker; a product can never have two defaults.
You can add a rate from the product card or assign it in bulk from the product list; both methods are described above.
Rate template
A template is a named, ready-to-use rate within the company, for example, “Standard EU VAT” = 23%, optionally linked to a country. Use it to assign VAT to many products without entering the percentage each time.
You cannot have two templates with the same rate for the same country. Each country can have at most one default template.
Mapping group
A mapping group links equivalent rates from different countries under one concept. A “standard rate” group might contain 23% templates for Poland, 21% for Germany, and 21% for Romania.
This makes it possible to refer to a “standard rate” across multiple countries instead of listing each market's percentage separately. Bulk VAT assignment lets you choose either a specific rate for one country or a mapping group.
